Roles [BETA 5.1]

This article is subject to change.

Starting with the release of DGIS 5.1, the Administration tab has been updated in an effort to consolidate administrative functions and make the DGIS experience more efficient.
The Roles screen has been removed. The Roles section is now visible when adding or editing a User in the User Management screen. (see Managing Users article for details)

Multiple Users can be assigned to the Administrator Role, however, a User cannot be assigned to more than one Role.

There are 3 DGIS Roles. The rankings from lowest to highest (full DGIS privileges) User, Manager, and Administrator.

User Role -  Permission to create, edit, and delete a shipment in addition to view *Parts.
Manager Role - Permissions of the User role in addition to Location Management and Parts Management.
Administrator Role -  Permissions of the Manager role in addition to API Management and Custom Validations.

There have been a number of changes to screens accessed from the Administration tab.

Click the Administration Tab and the left sidebar will display the DGIS features you have access to based on the Role that you are placed in.

Options (Previously User Options) has a new design and includes a new feature called 'Options Group'.  Allows all users to set their options in DGIS, however, Administrators are now able to create a custom Options Group and assign users to the group thereby limiting what they're able to do in the program.  The Options Group can also be assigned to a Location [See the Options/Settings article and the Location Management article for more details].

Defaults - (Previously Default Values) is a change in name only.  No new functionality has been added.  Certain fields in DGIS can be set to display a default value for new shipments only.

Signatures - No changes made.  An electronic signature can be added to certain forms.

Languages - New redesign, however, no change in functionality.  Available only to Enterprise subscribers, a Language can be assigned for certain forms.

Subscription Management (Previously Subscriptions) has a minor redesign, however, there is no change in functionality.  Administrators can view the subscriptions they've purchased.

User Management (Previously Users) is a change in name only.  No new functionality has been added.  Administrators can view all DGIS users (username, regulatory access, etc.  See the Managing Users article for further details).

Locations has a new design and contains new functionality.
Available only to Enterprise subscribers, DGIS Administrators and Managers have the right to create a Location and assign users to the Location.  Clicking Locations takes you to the newly designed Location Management screen.  In addition to assigning users to a Location, Parts (Parent Part only) and Templates (Shipment and Package) can be assigned to a Location. A custom Options Group can also be assigned to a Location. [See Location Management article for more details].

Custom Validation - No changes made. Available only to Enterprise subscribers, allows Administrators to create a custom warning message or custom error message.

Custom Overrides - No changes made.  Available only to Enterprise subscribers, allows Administrators to override program restrictions.

API (Previously Web Services) - No changes made.  Available only to Web Service subscribers, allows Administrators to create their API key.

User Activity - No changes made.  Available only to Enterprise subscribers, allows Administrators to create a list of their user's DGIS login activity. (See the DGIS Reporting article for more details)

Parts - No changes made.  Available only to Enterprise subscribers, allows Administrators to create a list of their Part numbers.  (See the DGIS Reporting article for more details)

Regulation Access - No changes made.  Available only to Enterprise subscribers, allows Administrators to create a list of users regulatory access.  (See the DGIS Reporting article for more details)

Shipment History - No changes made.  Available only to Enterprise subscribers, allows Administrators to create a list of past shipment history.  (See the DGIS Reporting article for more details)

We strongly recommend that DGIS Administrators also read the Managing Users article, the Locations Management article and the Options/Settings article to fully understand how each piece affects how a user is able to use the program.

Note: ENTERPRISE subscribers have access to additional features beyond ESSENTIALS.
