DGIS Reporting

This review assumes the following articles have been read: 'Starting a Shipment', 'Managing Users 4.9' article and the 'Rights 4.9' article.

The DGIS Reporting feature allows Administrators to monitor a user's DGIS login activity, their Regulation access, and provides an enhanced, sortable method of viewing part numbers and shipment history.

User Activity

The User Activity screen shows a user's login dates.

Buttons

  • Show Filters - The left sidebar expands displaying a menu with a From Date field, a To Date field, a Username field, a Location field and Location checkboxes.  Clicking the X located at the end of the field removes the value entered for that field
    • The Refresh Search button applies your filter values.

To collapse (exit) the Show Filters menu, click anywhere outside of the menu to the right.

  • Export Results - Allows you to save results in a csv format.
  • Clear All Filters - Clears all search filters and removes the row containing this button and the associated fields where a value was entered.

Column Headers

  • Date logged in - Date a user has logged into DGIS. (Clicking on the Column header name arranges the date chronologically).
  • Username - User's login name. (Clicking on the Column header name arranges username alphanumerically).
  • Location - The Location the user is assigned to. Clicking on the Column header name arranges Location alphanumerically - If a user not assigned to a Location, then No Location will appear first  

Fields

  • Items per page - Listed at the bottom of the screen.  Drop-down choices are 10, 25, and 50 (number of results listed per screen).

Parts

The Parts screen shows an inventory of Active Part numbers.

Buttons

  • Show Filters - The left sidebar expands displaying a menu with a Search field, a Locations field, and Location field checkboxes.  Clicking the X located at the end of the field removes the value entered for that field 
    • The Search field is where you can enter a Part number, UNID or PSN.

To collapse (exit) the Show Filters menu, click anywhere outside of the menu to the right.

  • Export Results - Allows you to save results in a csv format. 
  • Clear All Filters - Clears all search filters and removes the row containing this button and the associated fields where a value was entered.

Column Headers

  • Part number - Name of Part. (Clicking on Part number column header arranges part numbers alphanumerically).
  • Description - Description of Part. (Clicking on Description column header arranges the Description alphanumerically).
  • Regulation - Regulatory mode assigned to Part.
  • UNID - UNID assigned to Part.
  • PSN - Proper Shipping Name associated with the UNID that's assigned to the Part.
  • Locations - The Location that can view/access the Part.

Screen work-flow 

    • By Default, the parts listed under the Part Number column is arranged alphanumerically.  Numbered parts appear first in order (ex: 1111), followed by Named parts (ex: Airbag1234).  
      • Right arrow means records were found are available to view.
        • Clicking on the Right arrow expands the section and turns the Right arrow to a Down arrow.  Results are visible.
          • Clicking on the Down arrow collapses the section and turns the Down arrow back to a Right arrow.  Results are not visible.

  • Items per page - Listed at the bottom of the screen. Drop-down choices are 10, 25, and 50 (number of results listed per screen).

Regulation Access

The Regulation access screen shows the Regulatory set a username is assigned to.  Regulation access determines the shipping form a user has access to.

Buttons

  • Show Filters - The left sidebar expands displaying a menu with a From field, a To field, a User field and a Show records field.  Clicking the X located at the end of the field removes the value entered for that field.
    • The Show records field drop-down arrow choices are All records, With regulation access, and With regulation denial.

To collapse (exit) the Show Filters menu, click anywhere outside of the menu to the right.

  • Export Results - Allows you to save results in a csv format.
  • Clear All Filters - Clears all search filters and removes the row containing this button as well as the associated fields where a value was entered.

Column Headers

  • Expiration Date - The Expiration Date of a user's hazmat certification (This field is tied to the Expiration Date field on the Edit User window. An Expiration Date is not a required value. When an Expiration Date is not entered in DGIS for a user, the user will have unlimited access to the associated shipping forms until their DGIS subscription expires).
  • Username - DGIS username
  • Regulation - Regulatory set
  • Has Access - Yes or No
    • Yes means the user has access (Tied to the Edit User window; if there's a checkmark in the Regulation checkbox then the user has access to the associated regulatory shipping forms.  If the Edit User Window shows an Expiration date for a Regulation then the user is still marked as a Yes, however, the user will only have access to the shipping forms up to their Expiration Date)
    • No means the user does not have access (Tied to the Edit User window; if there is no checkmark in the Regulation checkbox then the user does not have access to the associated regulatory shipping forms)

Shipment History

Buttons

  • Show Filters - The left sidebar expands displaying a menu with a Consignee Name field, and a Location field with Location checkboxes.  Clicking the X located at the end of the field removes the value entered for that field
    • The Consignee Name - Name of Ship To address (Tied to the Consignee Name on the Shipment screen)
    • The Refresh Search button applies your filter values.

To collapse (exit) the Show Filters menu, click anywhere outside of the menu to the right.

  • Export Results - Allows you to save results in a csv format. 
  • Clear All Filters - Clears all search filters and removes the row containing this button and the associated fields where a value was entered.

Column Headers

  • Location - The location the user is assigned to. (Clicking on the Column header name arranges alphanumerically).
    • If the user has not been assigned to a Location, the Location will display as "No location"
  • Consignee Name - Ship To Name (Tied to Name field on DGIS Shipment screen). (Clicking on the Column header name arranges alphanumerically).
  • Shipment Date - The Date the shipment was completed in DGIS (Tied to Shipment Date field on Shipment screen)  (Clicking on the Column header name arranges chronologically).
  • Regulation - Regulation set used for shipment (Tied to Regulation field on Shipment screen). (Clicking on the Column header name arranges alphanumerically).
  • Transport Mode - The shipment's mode of transportation (Tied to Transport Mode field on Shipment screen). (Clicking on the Column header name arranges alphabetically).

Screen work-flow 

    • By Default, 'No Location' will always appear, then organized by Location name. (Note: The text No Location contains Shipments. Pressing the Right arrow expands the section).  
      • Right arrow means records were found and are available to view.
        • Clicking on the Right arrow expands the section and turns the Right arrow to a Down arrow.  Results are visible.
          • Clicking on the Down arrow collapses the section and turns the Down arrow back to a Right arrow  Results are not visible.
